Data protection policy for users of the booking environment of the UT Counselling Centre

This data protection policy provides useful information about how and why the booking environment of the University of Tartu Counselling Centre (‘Counselling Centre’) processes personal data. The data protection policy is based on the General Data Protection Regulation (EU) 2016/679 and Data Protection Policy of University of Tartu.

The data protection policy regulates the processing of personal data in the booking environment of the Counselling Centre.
The booking environment of the Counselling Centre is an environment used for making appointments for services of the Counselling Centre. Personal data the user enters when making an appointment are visible to the employees of the Counselling Centre and to authorised persons ensuring the functioning of the environment.

By making an appointment via the booking environment of the Counselling Centre, the user agrees to the processing of his or her data according to this data protection policy.

 

1. DEFINITIONS

The processing of personal data means all activities with the personal data of a user of the booking environment of the Counselling Centre – the collection, storage, modification and deletion of data.
A user is a natural person (e.g. student, applicant) who visits the booking environment of the Counselling Centre and wishes to use the services of the Counselling Centre.
Services are the services offered by the Counselling Centre (career counselling, counselling for students with special needs, psychological counselling).

 

2. PROCESSING OF PERSONAL DATA

To provide a service to the user, the following personal data submitted by the user for making the appointment are processed in the booking environment of the Counselling Centre:

• name of the user (required);
• email address of the user (required);
• information about the requested language of counselling (required);
• information about whether the user prefers counselling at the Counselling Centre or online (required);
• phone number (required);
• additional information the user wants the counsellor to know before the appointment.

 

3. STORING AND SECURITY OF PERSONAL DATA

The booking environment of the Counselling Centre stores the personal data submitted for making an appointment not longer than until the end of the academic year or until the user submits a request for the deletion of his or her data.

 

4. USER’S RIGHTS

At any time, the user has the right to request
1) the modification, supplementing or deletion of his or her personal data;
2) the limitation of the processing of his or her personal data.
To use these rights, the user must send a corresponding request by email to noustamiskeskus@ut.ee.
If the user believes that his or her rights in the processing of personal data have been violated, the user has the right to contact the Data Protection Inspectorate.

 

5. AMENDMENTS TO THE DATA PROTECTION POLICY

The Counselling Centre retains the right to unilaterally amend this data protection policy. The updated version of the data protection policy is always accessible on the web page https://ut.ee/en/content/data-protection-policy-users-booking-environment-ut-counselling-centre
